Privacy Policy

AllKeep Platform (Web App and Inventory by AllKeep mobile app)

• Account required — we receive your email address and display name from your sign-in provider (Google or Apple) for authentication. We do not store your password; the provider handles credentials.
• Your inventory data is stored on our servers — the boxes, items, names, descriptions, locations, tags, and any photos you attach are saved on our servers (Vercel and Postgres in the EU/US) so the app works across your devices. Data is encrypted in transit (HTTPS/TLS).
• AI photo analysis (only when you tap scan) — when you use the scan feature, the photos you select are sent to OpenAI's Vision API on our behalf to identify the object. OpenAI processes the image and returns a description; per OpenAI's API data-usage terms, images submitted via the API are not used to train OpenAI's models and are retained only briefly for abuse detection. We do not perform face recognition, biometric analysis, or any form of automated profiling.
• Camera and photo library permissions — the mobile app asks for camera and photo-library access only when you tap the scan or attach-photo control. Nothing is uploaded automatically; you choose every photo that leaves your device.
• Subscription billing via the platform store — Subscriptions are processed by Google Play Billing on Android and Apple In-App Purchase on iOS. We receive the purchase token and entitlement status from the store; we never see your card number, billing address, or other payment details.
• Anonymous crash and error reports — we use Sentry to capture crashes and errors so we can fix bugs. Reports include the device model, OS version, app version, stack trace, and breadcrumb logs of preceding actions; they do not include the content of your items, your photos, or any third-party identifiers.
• Delete anytime — from Settings → Account in the mobile app or by emailing nefayran@gmail.com you can delete your account and every byte of associated data (inventory, photos, account record) within 30 days.
• Never sold — your data is used only to provide the service. We do not sell, rent, or share it with advertisers or data brokers.

Japan Life Hub (Web App)

• No account needed — every Hub tool works without signing up or giving a name.
• Kept in your browser — what you type into a tool is stored in your browser's local storage; clearing site data removes it.
• Nothing of yours on our server unless you keep it there — the Hub stores nothing you type on our server until you sign in and press a tool's button to keep it in your account.
• Four tools can keep their form in your account — the papers calendar, the payment book, the leaving-Japan checklist and the record of money sent home. When you keep one, our database stores your account email, the page's language, whether its e-mails are on, and what that tool holds. Papers calendar: each person's name, kind of residence, the end dates of the residence card, My Number card, its certificate and passport, the day a renewal was filed, the day of a move, and for a job change its dates, the kind of status and the steps ticked off. Payment book: each bill's kind, year, whose it is and its label, and every slip's amount, due date and paid date. Leaving-Japan checklist: the flight day, work and the last day of work, home and the lease's notice, pension, and the steps ticked off. Money sent home: the people you send money to, with their name, relation, birth date and whether they study abroad or have a disability; each transfer with its date, receiver, method, amount, whether the receipt is kept and its note; your own name and address for the remittance statement; the day your employer wants the papers; and the day of the month for a reminder. It is used only to open the tool on your other devices and to send its e-mails.
• Reminder e-mails, and how to stop them — a tool kept in your account e-mails you before the dates it shows, in the page's language, at your account email. Our e-mail provider Resend sends them and receives your address and the e-mail's text. Every e-mail has a link that stops them, and each tool's page can turn them off.
• Remove it at any time — the remove button on each tool's page deletes what that tool kept in your account and stops its e-mails. When you delete your account, its e-mails stop and everything the tools kept is erased within 30 days.
• Privacy-respecting analytics — aggregate page-view counts only, no cookies, no personal identifiers.

Days (Web App)

• No account needed — counting works without signing up, and Days asks for no name or email.
• Kept in your browser — your trips (dates, countries, reasons) and the dates you enter for each rule are stored in your browser's local storage; without an account nothing is sent to our server, and clearing site data removes them.
• Kept in your account only if you choose — with AllKeep Pro you can keep the list in your AllKeep account as well, so it opens on your other devices. It is stored with the account and used for nothing else, and deleting the account deletes it.
• Files stay on your device — the list for the form (CSV) is made in your browser and saved straight to your device.

Turns (Web App)

• Kept in your browser until you share it — a rota you start is stored in your browser's local storage, and nothing is sent to our server until you choose to share it.
• A shared rota is kept on our server, open to anyone with its link — it holds the names you type in (first names are enough), the jobs and the turns marked on it, and, if you were signed in when you shared it, your account email, so the rota is listed in your account. Anyone with the link can see it and mark turns. A newly shared rota also notes whether its maker came from another group's rota, through its link or the QR code on its printed sheet, keeping that rota only as a short code made from its link (never the link) and nothing about the person.
• Its maker can delete it at any time — whoever made a shared rota can delete it for good, with everything in it, from the rota's page. A rota nobody has changed for 12 months is deleted automatically.

Freelance Rate Calculator (Chrome Extension)

• No personal data collected — we don't ask for your name, email, or any identifiers.
• No analytics or tracking — no Google Analytics, no telemetry, nothing.
• Local storage only — your preferences (like dark/light theme) are stored locally in your browser using the Chrome Storage API.
• No server communication — the extension works entirely offline.

Third-Party Services

We use a small, named set of third-party services strictly to provide the AllKeep Platform: (1) Google Sign-In and Apple Sign-In for authentication; (2) OpenAI (Vision API) for AI photo analysis when you tap scan — images submitted via the API are not used to train models per OpenAI's API terms; (3) Sentry for crash and error reporting (no item content, no photos); (4) Google Play Billing and Apple In-App Purchase for processing paid subscriptions; (5) Vercel and Postgres for hosting and database; (6) Resend to send the e-mails you ask for (it receives your e-mail address and the e-mail's text). We do not use advertising networks, ad SDKs, or third-party trackers. The Rate Calculator uses none of the above. Japan Life Hub uses only hosting, plus sign-in, the database and Resend when you keep a tool in your account.

Data Sharing

We do not sell, rent, or trade your information. We share data with the named processors above only to the extent needed to operate the service, and only under data-processing agreements. We will disclose data when legally required (court order, lawful subpoena), and will notify affected users where the law allows.

Your Rights

You can access, export, correct, or delete your data at any time. In the AllKeep mobile app: Settings → Account → Export data / Delete account. From the web app: Settings → Privacy. By email: nefayran@gmail.com. We respond to requests within 30 days. EEA, UK and California residents have additional rights under GDPR/CCPA, including the right to object to processing and the right to lodge a complaint with a supervisory authority.

Children's Privacy

Our products are not directed at children under 13 (or under 16 in the EEA). We do not knowingly collect information from children. If you believe a child has signed up, contact nefayran@gmail.com and we will remove the account.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the new version on this page and update the "Last updated" date. Material changes will also be announced inside the AllKeep app at least 7 days before they take effect.
